Assign a requirement template to equipment
Bulk assignment copies one active template revision to selected equipment. Every created requirement is an independent record with its own lifecycle, due date, revisions, and future calibration work.
Existing requirements are never overwritten.
Before you begin
- The template must be active.
- You need template-assignment permission.
- Select no more than 500 equipment items in one assignment.
- Decide whether to create drafts or activate the new requirements immediately.
- If activating, choose a shared initial due date that has been reviewed as the correct scheduling baseline.
Equipment that is retired or archived is not eligible. The service also checks organisation ownership, equipment state, existing template links, requirement names, and responsible-member eligibility.
Select equipment
Assign from an equipment record
- Open the equipment detail and select Add requirement.
- Choose Use existing template.
- Search active templates by name, calibration type, or risk, then select one to review its complete policy preview.
- Choose an optional initial due date and responsible-member override.
- Select Activate immediately only when the scheduling baseline is ready.
- Select Assign template.
The equipment is supplied by the page and is not selected again. If the template is already assigned, Obsidian Metra opens the existing requirement. Ineligible equipment and requirement-name conflicts remain on the page with an explanation.
Bulk assign from template management
- Open Calibration and Requirement templates.
- Open View details for an active template.
- Select Assign equipment.
- Narrow the list with Search equipment, Client, Site, Location, or Equipment status.
- Select individual equipment records, Toggle eligible equipment on this page, or Select all [count] matching.
- Confirm the selected count shown at the top of the dialog.
Selection can span pages. A batch is limited to 500 items; submit the current batch before selecting more.
If No matching equipment found appears, change the filters and confirm that suitable non-retired, non-archived equipment exists. Loading and filter failures appear in the dialog and do not create requirements.
Choose shared assignment values
- Enter a Shared initial due date (optional) when the equipment should share an approved baseline.
- Select a Responsible member override (optional), or leave Use the template responsible member selected.
- Select Activate the created requirements only when the requirements should become live immediately.
- Submit the assignment with Assign to [count] equipment.
Activation requires the shared initial due date. Leave activation off to create independent drafts that can be reviewed and activated individually.
Interpret the outcome
The result separates the batch into four counts:
| Outcome | Meaning | Safe response |
|---|---|---|
| created | A new independent requirement was copied from the current template revision | Review the requirement and its due state |
| already assigned | The equipment already has a non-archived requirement linked to this template | Open and maintain the existing requirement |
| ineligible | The equipment or requested activation does not satisfy the current domain rules | Review equipment lifecycle, assignment values, and activation prerequisites |
| name conflicts | The equipment already uses the template's requirement name | Review the existing requirement; do not rename or duplicate records merely to bypass traceability |
The result can contain more than one outcome. A partial result is not a signal to repeat the complete batch: retry only equipment whose reason has been understood and corrected.
Understand copied requirements
Each created requirement records the source template and template revision number. From that point onward:
- editing, retiring, or archiving the template does not change it;
- its lifecycle and due date are controlled independently;
- its own updates create requirement revisions; and
- completed calibration work affects only that equipment requirement's schedule.
Archiving a linked equipment requirement removes it from the template's live-assignment check, but archived requirement names remain reserved for traceability. Assigning the same template again can therefore report a name conflict rather than recreate the old requirement.
Permissions and safe next steps
Template visibility does not imply assignment permission. Owners and quality managers normally assign templates; the Metra makes the final decision and rejects cross-organisation identifiers.
