Complete your organisation setup

Use the setup progress bar above the organisation navigation to see configuration and orientation tasks suited to your membership. The journey is guidance: it is not a compliance score, an approval record or proof that your organisation is accredited or ready for an audit.

Every task is optional. You can skip an item or continue to another area at any time. While assigned work remains, a compact setup progress bar appears above the organisation navigation on every organisation page. Select it to return to your setup tasks. The bar disappears after every assigned task is completed or skipped.

For a UKAS schedule, open Data Import or Accreditation profiles and choose Import UKAS Schedule. See Import a UKAS calibration schedule.

For help getting started, select Book an Onboarding Call at the top of the setup page. The onboarding booking page opens in a new tab so you can keep your setup workspace open.

Understand your journey

Your journey depends on your role and effective permissions in the selected organisation:

  • Owners focus on initial members, delegation, structure and individual organisation settings.
  • Organisation administrators focus on membership, structure, assets, imports and permitted operational settings.
  • Quality managers focus on controlled procedures, quality policies, uncertainty, decision rules, personnel authorisations and audit evidence.
  • Calibration managers focus on requirements, standards, technical-authorisation coverage, teams, due work and work orders.
  • Calibration engineers focus on personal readiness, assigned work, controlled execution, measurements, certificates and submission for independent review.

Tasks that you cannot perform under your current effective permissions are not presented as actions. Changing a checklist assignment never grants permission or technical authorisation.

Tailor setup to your organisation

An owner or administrator can choose whether the organisation uses external calibration providers, performs calibration internally, or does both. They can also say whether the organisation will generate certificates in Metra. These choices are shared across the organisation and can be changed later.

Choose external calibration when you send equipment to a provider and retain their calibration evidence. Choose internal calibration when your organisation performs the work itself. If you do both, keep both sets of setup guidance. Generating certificates means issuing certificates from Metra; uploading a provider's certificate does not require that option.

The choices prioritise relevant tasks. They do not enable features, change permissions, automatically approve controlled records or erase previous task history. You can still reveal the other setup tasks. Until a workflow is chosen, the full task list remains available.

The setup page highlights one next action based on your permitted tasks and the available prerequisites. Open that action to work in its usual workspace, then return through the setup bar and refresh the setup view. If a colleague needs to perform a step, coordinate with them instead of treating the checklist as an approval.

The first-equipment path connects four stages:

  1. Site: establish where equipment is held or used.
  2. Equipment: register the first equipment item and review its identity, placement and lifecycle.
  3. Requirement: add a calibration requirement to that same equipment item and complete the normal method, due-date and activation steps.
  4. Evidence: record calibration work for the requirement, retain the required certificate and follow the usual review workflow.

The path uses existing records, so you can leave and return without starting from scratch. A draft calibration event alone is not completed evidence. These indicators help you navigate; they do not assess whether the evidence is suitable for every calibration or establish accreditation or audit readiness.

Choose the setup steps your workflow needs

Tasks follow a suggested order. Before you begin explains dependencies and the circumstances in which they apply in both My tasks and All setup tasks. Availability badges check for existing active or approved records in this organisation. Needs setup before starting identifies a missing required prerequisite; Review prerequisites for your workflow includes optional or unverified dependencies. Ready to start does not certify that a record covers your particular calibration. Skipping or completing a checklist item never substitutes for a live record. Select Refresh setup after creating or approving related records. Links appear only when you have the permissions for that destination; otherwise coordinate with the responsible colleague.

  1. People and structure: invite colleagues and delegate the organisation settings below. Add clients first when creating client-owned sites; internal sites do not need a client. Create the sites and locations needed for your equipment, then register equipment or use Data Import.
  2. Controlled calibration: where you perform controlled work, establish the decision rules, procedures, reference standards and uncertainty budgets the work will use. Approve controlled records through their normal workflows. Confirm personnel's technical authorisations against the relevant procedures and activities.
  3. Accreditation, when required: create or import the profile, check its scopes and versioned seal, and obtain independent approval before selecting it in a requirement template. Templates that do not need accreditation can use Not required.
  4. Templates and assignments: create reusable templates with the appropriate approved procedure and accreditation profile where applicable, activate them, and assign them to equipment. Equipment without an assigned requirement will not acquire a due calibration simply because a template exists. A requirement can also be created directly on equipment.
  5. Generated certificates, when used: review report branding and certificate numbering before issuance. An accredited generated certificate also needs the selected profile's approved seal and matching scope coverage. External certificate uploads do not require Metra's generated-certificate setup.
  6. Operational work: use assigned requirements to plan the first work order, allocate eligible personnel and complete work through its normal review workflow.

There is no need to create a requirement template or accreditation profile before authoring a procedure. Certificate outputs describe the evidence the procedure produces; they do not require a profile. If a profile scope needs a specific procedure, approve that procedure first and select its revision from the scope dropdown. Site and procedure scope links are optional, so they do not block profiles that do not need those restrictions.

External calibration with uploaded certificates does not require all the controlled-calibration or generated-certificate setup above. Reading an orientation guide can happen at any time. Skipping a setup item never bypasses the validation, approvals, scope checks or permissions enforced in the destination workflow.

Review organisation settings separately

Organisation configuration is divided into focused, independently assignable tasks. Each task opens its own settings page so you can review, complete or skip it separately:

  • Electronic signature policy: choose when controlled actions require a signature and the recent-authentication window. See Sign controlled approvals. This organisation policy is separate from each member's Configure your signature task.
  • Public asset QR verification: decide whether equipment QR labels can expose a restricted public calibration summary and which fields are disclosed. See Configure public asset verification. Each equipment item still needs its own opt-in; completing setup does not enable public access.
  • Calibration notifications: review reminder types, delivery channels, repeat cadence and evaluation time. See Configure calibration notifications. Requirements and responsible members can be configured separately before reminders are needed.

Report branding and Certificate numbering remain separate tasks for organisations issuing Metra-generated certificates. Only tasks permitted for your role and effective permissions are offered. Use the page's save action to apply settings, then mark the setup task complete after reviewing the saved configuration. You can keep an optional feature disabled and complete its review without enabling it.

The former Confirm organisation details task is retired. Existing completed or skipped history is retained; unfinished copies become No longer applicable. Its previous status does not automatically complete the new settings tasks.

Work through your tasks

The My tasks view groups work by setup area and identifies each task's purpose, current status and assignee. Use the destination action to perform the real configuration in its authoritative workspace.

  • Choose Start when you want to show that an item is under way.
  • Choose Mark as reviewed only for an orientation or review item.
  • A system-completed item changes only after its underlying action succeeds, such as creating the relevant organisation record.
  • Choose Skip when an item is not useful now.
  • Choose Reopen to return a completed or skipped item to the outstanding list.

Completed and skipped totals are shown separately. Skipping a quality or calibration item does not create a controlled record, approve evidence or bypass a normal requirement.

Delegate shared setup work

Owners and organisation administrators can use All setup tasks to review shared work and assign, reassign or unassign it. Filter by Assignee using member names; no membership identifier needs to be entered.

  1. Open the shared task.
  2. Select Assign or Reassign.
  3. Review each member's eligibility message.
  4. Select an eligible active member and confirm.

Metra checks that the member belongs to the same organisation and has the destination permissions required by the task. Ineligible people remain explained rather than silently disappearing. Assignment coordinates responsibility only; it does not change a role, grant access or certify competence.

Personal tasks, including a member's own signature or orientation, cannot be delegated or completed by a manager on that person's behalf.

Leave or dismiss the journey

Select Continue to dashboard whenever you are ready to use the rest of Metra. Dismissing the journey records that preference but does not complete or skip its tasks. The compact progress bar remains available while work is outstanding, so you can return without keeping Setup in the main navigation.

If your role changes, Metra preserves completed and skipped history, withdraws unfinished tasks that no longer apply and adds relevant tasks for the new role. Suspended or revoked members cannot update setup. Shared work assigned to them remains visible to owners and administrators for reassignment.

If an update fails

  • Refresh after a version-conflict message, review the latest task state and retry your intended change.
  • Confirm that you are working in the correct organisation and that your membership is active.
  • Ask an owner or organisation administrator to review an unavailable shared assignment.
  • Follow the linked workflow's own validation when the destination action fails; skipping its setup task does not bypass that validation.
