Prepare an asset register for import

Metra accepts CSV, XLS, XLSX and searchable or scanned PDF asset registers. A spreadsheet can contain several sheets, report titles, blank space, merged headings and notes before or after the equipment table. Keep the original layout: Metra proposes likely source tables and you approve which ones are relevant.

For scanned and mixed PDFs, Metra classifies each page and recognises only pages that lack usable native text. OCR is a fallible, derived interpretation: review marked values against the unchanged source document. Encrypted PDFs, handwriting and severely distorted photographs are not processed.

Before you upload

  • Confirm that each equipment row has a stable internal asset ID.
  • Use separate columns for serial number, manufacturer and model where possible.
  • Keep client, site and location values consistent if matching existing Metra records.
  • Remove secrets and unrelated personal information from the file.

Open Data Import, select Upload asset register, choose the file and select Upload and analyse. Uploading and analysis create no equipment records.
