Open the reference standard's profile and find Record current calibration certificate. This guided workspace uses the ordinary requirement, calibration and evidence controls. Uploading a certificate does not approve a provider, establish competence or make the reference usable by itself.
Prepare the provider and requirement
- Select Prepare or review the structured provider. Create or select the provider record. An eligible independent reviewer assesses its suitability, scope and review date. Provider assessment and certificate approval are separate decisions.
- If no external requirement exists, select Prepare external requirement here. Nothing is created until you save the displayed form.
- Choose an external calibration template or define a custom requirement. Link the structured provider; review accreditation, interval, due date, certificate route and evidence requirements.
- Save as a draft, or explicitly select Create and activate when prerequisites are ready. A refused activation leaves the saved draft available under Complete and activate requirement.
This workspace prepares external calibration only, including when your organisation's operating model recommends internal work. It shows proposals for the selected external work type without offering a conflicting internal-work shortcut. Use the equipment requirement workflow to define internal calibration, verification or functional checks.
Retain the certificate evidence
- Select Record certificate for the active requirement. Enter the actual performed date, provider performer name, certificate identity and result. Create the draft.
- Open Certificate PDF and upload the genuine certificate. Metra validates the file and retains its checksum, size, revision and uploader.
- A member with measurement-update permission and access to edit this draft opens Points and corrections to record the provider's values and corrections where applicable. Uploading its PDF does not grant permission to edit points. Do not invent measurements absent from the source evidence.
- Open Reported uncertainty and k. Retain numeric U and k as stated, or select the supported documentary route with an explanation when the source does not report numeric values. An unknown k remains unknown.
- Open Certificate identity and result to review the summary and limitations.
- Open Independent review, refresh readiness and resolve the server's blockers before submission.
Saved evidence is read again before opening the next step. A refresh failure keeps the current step available; retry before relying on readiness.
If the reference has several active external requirements, select Record certificate for the one covered by the provider's work. Switching to another requirement opens a fresh draft form with that requirement's inherited controls. Save any entries you need to retain before switching; confirming that you want to leave discards unsaved entries.
Hand off a step that needs another capability
Certificate upload, measurement editing, uncertainty evidence and independent approval use separate capabilities. Being able to open a step can permit viewing without editing. The current canonical Owner role does not include measurement-update permission; ownership and a successful PDF upload do not override that boundary. Calibration engineers, calibration managers and quality managers have that capability in the canonical baseline, but their current membership, draft state and permitted work or assignment must also allow the update. Stored permissions can differ from that baseline.
If the PDF recorder cannot edit points, an authorised work coordinator assigns the saved draft or requirement through its normal assignment controls to an eligible colleague, such as a calibration engineer. That colleague opens Resume saved provider calibrations, or the same calibration draft, and records the measurements from the provider's evidence. Handoff does not change who performed the provider calibration, establish internal technical competence or grant a missing capability. Arrange a different eligible person for independent approval after the evidence is complete.
Review and resume
A different eligible calibration approver reviews the submitted revision and completes the organisation's signature requirement. Optional signatures are labelled honestly; the authenticated decision still retains its approver and UTC timestamp. A retained record without an electronic signature does not establish what a historical signature policy required.
Return to the profile and open Resume saved provider calibrations to continue a saved draft or review its outcome. Saved evidence remains on the server. Save unsaved entries before leaving or switching steps.
After approval, check the profile's derived status, expiry, provider suitability and traceability. Approval alone does not override restrictions or missing upstream evidence. If a task is unavailable, ask a colleague with its capability; assigning work does not grant it.
