Roles and permissions

Understand organisation roles, invite members, and control access safely.

Organisation setup For Owner, Administrator, Quality manager, Calibration manager, Calibration engineer

Roles and permissions

Each organisation membership has its own role and permissions. If you belong to more than one organisation, your role can be different in each one.

Before you begin

You need an active, email-verified account and membership in the organisation. Open the correct organisation before reviewing or changing access.

The Organisation page is available only when your membership can view members. Edit controls appear only when your role allows the action. Metra checks access for each action.

Choose the right role

The customer-facing roles are:

RoleIntended use
OwnerFull organisation authority, including ownership transfer, operational work, quality review, and controlled evidence
Organisation administratorMember, client, site, location, and equipment administration; read access to calibration work; no quality approval
Quality managerQuality policy, investigations, controlled evidence, independent review, and dossiers; may perform separately authorised calibration work but cannot approve their own work
Calibration managerOrganisation-wide calibration work visibility and assignment, plus authorised calibration work and operational equipment actions; no organisation administration or quality review
Calibration engineerAssigned calibration work, operational equipment actions, and scoped investigation work; no organisation administration or quality review

Roles are role-specific, not permission-specific. For example, a user cannot approve calibration work they submitted, and a dossier preparer cannot review their own dossier.

Procedure approval and separation of duties

Owners and quality managers can create, submit, approve, reject, withdraw, retire, and archive procedures. Calibration managers and calibration engineers can read and execute procedures but cannot approve revisions.

Metra enforces separation of duties. Even a user with high-level permissions cannot approve their own draft or submission.

Invite a member

You need member-management permission. Owners and organisation administrators usually have this access.

  1. Open the organisation.
  2. Select Organisation.
  3. In Members and invitations, enter the person's Email address.
  4. Select the least-privileged suitable Role.
  5. Select Invite member.

The invitation appears under Pending invitations. Use Resend invitation if the recipient needs a new invitation message.

Change a member's role

  1. Open Organisation and find the member under Active and previous members.
  2. Select the new value in Role for [member name].
  3. Review the confirmation dialog.
  4. Select Confirm.

The new role applies only inside this organisation. You cannot change your own role. If an owner must give up ownership, use ownership transfer instead.

Suspend, reactivate, or revoke access

To temporarily remove access:

  1. Find the active member.
  2. Select Suspend.
  3. Enter the required Reason.
  4. Select Confirm.

A suspended member can be restored with Reactivate.

To remove access permanently, select Revoke, enter a reason, and confirm. Revocation is not reversible through the current user interface. Use suspension when access may need to return later.

You cannot suspend or revoke your own membership. Access changes are tracked and remain in history.

Transfer ownership

Only the current owner can transfer ownership.

  1. Open Organisation.
  2. Find an active member who is not already an owner.
  3. Select Transfer ownership.
  4. Read the warning and select Confirm.

Your role and authority may change immediately. Confirm the destination member and organisation before continuing.

If a control is missing

  • Confirm that you opened the intended organisation.
  • Confirm that your membership is active.
  • Ask an owner or organisation administrator to check your role.
  • Remember that quality approval, calibration performance, and organisation administration are intentionally separate.

For symptom-led checks, see Troubleshoot access and missing actions.

Next steps

Reference-standard permissions

Calibration engineers may select eligible standards for editable work. Quality and calibration managers manage profiles, limits, restrictions, and validity exceptions. Approvers must remain independent and acknowledge warnings before proceeding.

Uncertainty permissions

Quality managers and other explicitly authorised members control uncertainty-budget definitions and independent approval. Authors and submitters cannot approve their own revisions.

Members with warning-acknowledgement permission can acknowledge a warning and later remove that acknowledgement with a reason. Both actions keep actor and timestamp history. Blocking findings cannot be acknowledged, and this permission does not grant event approval.
